People, client sites and timesheets — in one place
Strong Staffing is built for agencies that supply workers to client companies. You plan shifts at client sites, record who showed up, and at the end of the month export a timesheet for each client.
Beta: one installation — one agency. Client invoicing, margins, a client portal and payroll export are planned.
- Client → site
- shifts and timesheets kept separate for every client
- 0 double bookings
- if a worker is already booked, the system shows where and when
- Excel + PDF
- monthly timesheet per client and site
- 4 roles
- owner, manager, supervisor, worker
Everything an agency does every day
A regular scheduler only knows its own employees. Here, workers are a shared pool you send to different clients.
Clients and sites
A client card with registry code and contacts, multiple sites with addresses. Shift templates per site: times, break (paid or unpaid), color.
Worker pool
Name, personal ID code, contacts, IBAN, position, rate, photo. Import from Excel or CSV using a template; re-importing updates records by personal ID code.
Shifts and assignments
A week view filtered by client, site and worker. Recurring shifts over a period by weekday; a site's regular crew is filled in automatically.
Check-in and actuals
The “Today” screen: who's on site, who didn't show up, who needs checking in. Actual start, end and break, night shifts, hours calculation.
Timesheets
A monthly timesheet per client and site in Excel and PDF: hours by day, weekends and Estonian holidays, “A” for absence, totals.
Reports and analytics
Hours, shifts and amounts by worker, client and site. Monthly and weekly trends, month-over-month comparison, export to CSV, Excel and PDF.
Change log
Who created, changed, deleted, checked in or imported what — with field-level diffs.
On your phone
Installs on a phone like an app (PWA). The bottom menu is configurable — a supervisor on site needs only a few buttons.
By morning you know who showed up and who's missing
Supervisors check in people on their shifts, and managers see the picture across all sites at once.
- Counters: on site, hours, to check in, expected, active shifts
- “Now”, “Next 12 hours”, “To check in” sections and a daily plan by site
- “On site” or “No-show”, actual times and break
- Night shifts past midnight are calculated correctly
- Supervisors can be limited to specific shift templates
The client's timesheet — one click at month end
The timesheet is built from check-ins, not filled in by hand. A separate file for each client and site.
- Week, employee number, name, hours by day and totals in days and hours
- Weekends and holidays highlighted, absence marked “A”
- Cells colored by shift type
- Worker report: shifts, hours, rate, amount
- Only the owner sees rates — enforced on the server
Everyone sees exactly what they need
Permissions are set in a matrix: actions (schedule, shifts, workers, clients, reports, settings) × roles.
- Team invitations are single-use links with an expiry
- Rates and amounts are hidden from everyone except the owner
- Files are checked by content and served only to signed-in users
- The SMTP password is stored encrypted (AES-256-GCM)
- Interface in Russian, English and Estonian; shift and position names in each
- A complete change log with field-level diffs
Frequently asked questions
How is this different from Strong Shifts?
Strong Shifts schedules your own employees across your own departments. Strong Staffing is built around the agency: client → site → shift → assignment, a shared worker pool and timesheets separately for each client.
Can clients approve timesheets themselves?
Not yet — clients have no sign-in. The timesheet is sent to them as an Excel or PDF file. Client approval is planned.
Does the system invoice clients?
Not yet: the system stores worker rates, but not client rates or margins. Hours reports per client and site are ready for invoicing in your accounting software.
Can we import our workers from Excel?
Yes, using a template from Excel or CSV. Re-importing updates records by personal ID code instead of creating duplicates.
Do workers check in by GPS?
No. Attendance is recorded by a supervisor or manager on the “Today” screen.
We'll show it with your clients
Send us your list of sites and workers — we'll set up a demo agency and export your first timesheet.
