Instructions and proceduresIn development

Every task. Every step. Clear.

Strong Steps will be the place where every employee has their own instructions, procedures and rules — by position, department and shift. And you can see who has acknowledged them: with the date, the version and proof.

In development: Strong Steps is planned and not released yet. Everything below describes intended features and principles, not finished functionality.

What Strong Steps will do

Not a document editor — order in who does what

Word, Notion and shared folders store text. Strong Steps is designed so everyone knows their rules, and managers can see they have been read.

  • By position, not by folder

A document is assigned to a position, department, role or person. A new employee in the position immediately gets everything they need.

  • Versions with approval

Draft → review → approved → published → archive. You see who changed what and when, and who approved it.

  • Acknowledgement with proof

An “acknowledged” mark for every version: by click, and for important documents by signing with an ID card, Smart-ID or Mobile-ID (planned).

  • Re-acknowledge only the changes

When a new version comes out, employees see what changed and confirm only the changes instead of rereading everything.

  • A procedure is steps

A run mode on a phone or tablet: step by step, with checklists, warnings and a photo of the result.

  • QR code at the workplace

A sticker at the coffee machine, in the storeroom or at the till opens the right procedure — no digging through folders.

  • Onboarding and quizzes

A path for newcomers: what to read, which procedures to go through, which quiz to pass — and by when.

  • Reports for managers

Who hasn't acknowledged, which documents are due for review, version history — for managers and inspectors.

Assignment

A new person in a position gets everything automatically

Documents are assigned to positions and departments, not to people one by one. A new cook starts — their job description, kitchen procedures and hygiene rules are already on the “My documents” screen.

  • Assign to a position, department, role, a specific person or everyone
  • Employees see only their own: active documents and what awaits acknowledgement
  • Move to another position — the new documents arrive automatically
  • Organizations and employees from Strong ID, later positions from Strong Shifts
  • Reminders about new documents by email through Strong Send
Versions

Every change has an author and an approval

Instructions don't change “quietly”. A new version goes through review and takes effect from a date; the old one moves to the archive instead of disappearing.

  • Statuses: draft, review, approved, published, archive
  • Who wrote it, who approved it, the effective date
  • Version comparison: what was added, what was removed
  • Re-acknowledgement of the changed parts only
  • Review dates: a reminder when a document is due for a check
Acknowledgement

“Acknowledged” — with the version, date and method

For every employee and every version you will see when and how they confirmed. Internal rules by click; important documents by eID signature.

  • Acknowledgement by click: user, version, date and time
  • Planned: signing the acknowledgement with an ID card, Smart-ID or Mobile-ID
  • A “not yet acknowledged” list by department and position
  • Reminders to those who haven't confirmed, before the deadline
  • Acknowledgement history is kept for archived versions too
At the workplace

The procedure on a phone, step by step

A work procedure isn't a page of text — it's steps. In the kitchen, the storeroom or at reception it can be run from a phone or tablet, ticking off each step.

  • Run mode: one step per screen, large buttons
  • Checklists, warnings, photos and videos inside the steps
  • A photo of the result as proof of completion — optional
  • A QR code at the workplace opens the right procedure
  • Run history: who, when, with which marks
Training and onboarding

A newcomer's first week, on a path

An onboarding path puts documents, procedures and quizzes in the right order with a deadline. The manager sees where everyone is.

  • Paths by position: read, go through, pass
  • Short quizzes on documents — a check that it's understood
  • Deadlines and reminders for the newcomer and the mentor
  • Progress for every employee
  • For agencies — onboarding a worker before they go on site
Migration and help

Your Word documents, turned into steps

Start with what you already have. Word documents will be imported, and any instruction can be exported to PDF. AI will help, but people make the decisions.

  • DOCX import: headings, lists and tables
  • PDF export — for printing, inspections and the archive
  • Planned: an AI draft of a job description for a position
  • Planned: AI turns text into steps and explains what changed between versions
  • Everything AI suggests is reviewed and approved by a person
Together with Strong

Works with the other Strong products

Strong Steps is designed as part of the platform: the same employees, the same sign-in, the right instructions in every shift and on every tablet. The links will arrive in stages.

Examples

What it could look like for you

Three scenarios we are designing Strong Steps for. The organization names are fictional.

  • Hotel and restaurant

    Opening, closing and kitchen hygiene

Hotel Demo · kitchen and reception

    • Kitchen closingWork procedure · 7 steps
    • Opening a reception shiftWork procedure · 5 steps
    • Kitchen hygiene and food storageRules and regulations

The cook runs the kitchen closing from a tablet, ticks off the steps and photographs the result. A QR code on the cold room opens the storage rules.

  • Office and public sector

    Job descriptions and E-ITS rules

    Linnakantselei Demo · 40 employees

    • Records management specialistJob description (ametijuhend)
    • Information handling rules (E-ITS)Rules and regulations
    • Occupational safety in the officeRules and regulations

Every employee sees their own ametijuhend and security rules; important documents are acknowledged with an eID signature (planned). For inspections — a report and a PDF.

  • Staffing agency

    Onboarding before the first shift

Staffing Demo OÜ · client warehouse

    • Safety inductionTraining and onboarding
    • Site rules: Logistics Demo warehouseRules and regulations
    • Check before the shiftQuiz · 5 questions

The worker completes the path on a phone before going on site; the team lead sees who passed the quiz and acknowledged the site rules.

The examples illustrate the idea; they are not customer deployments.

Questions

Frequently asked questions

When will it launch?

There is no date yet. First comes a version for our own use: positions, versioned documents, step procedures, click acknowledgement and the “My documents” screen. Then training and on-site work (quizzes, phone, QR codes), then eID signing, reports and self-hosting. Leave a request and we'll invite you to early access.

Can we import our Word documents?

Yes, that's the plan: DOCX import with headings, lists and tables; procedures can then be split into steps — by hand or, later, with AI help. PDF export will be there from the first version.

Is a click acknowledgement legally enough, or is an eID signature needed?

That's a legal question, and the answer depends on the document and your situation — we don't give legal advice. For a click acknowledgement Strong Steps will store the user, the document version, the date and the time, and an ID card, Smart-ID or Mobile-ID signature is planned for important documents. Please check with your lawyer which method your documents need.

Does it work on a phone in the kitchen?

That's the idea: the procedure run mode is built for phones and tablets — one step per screen, large buttons, a photo of the result. A QR code at the workplace opens the right procedure straight away.

Can we self-host it? Is it suitable for the public sector?

Self-hosting is planned, together with eID signing, reports and an activity log — what the public sector and large organizations need. In Strong Cloud the data will be stored in the EU.

How is it connected to Strong Shifts and Strong POS?

Positions and employees will come from Shifts, and a shift will show its own procedures. In POS, kitchen and floor procedures — opening, closing, sanitation — will open on the same tablet. These links will come after the first version.
